How does Samaya prevent overlapping appointments?
Samaya calculates slots from the business’s working hours and service duration, then excludes blocked time and pending or confirmed visits. The backend rechecks availability inside the booking transaction before saving a request. Samaya currently uses one shared calendar per business.
Start with the business’s working hours
Working hours define the windows in which customers can request a visit. A closed day has no bookable slots. Slot generation respects the business timezone and daylight-saving changes.
Block time that is not available
Use blocked time for closures, breaks, or other commitments. Blocks remove overlapping slots from customer availability. Keep blocks current rather than relying on a note in another tool.
Pending requests reserve time too
Pending and confirmed visits both occupy the schedule. Do not treat a pending request as free time merely because the team has not confirmed it yet, or assume it will expire automatically. Review requests and keep their status current.
Understand the shared-calendar model
Samaya’s availability is shared across the business. A staff reference on a visit is not an independently bookable staff calendar. If you need several simultaneous appointments for different employees or rooms, discuss that requirement before onboarding.
Separate attachments from calendar synchronization
Booking confirmation emails can include calendar attachments for recipients. That is not the same as reading an external calendar to calculate availability, or offering complete two-way Google Calendar synchronization.
